QR codes and leads

Test a QR code without confusing your results

Check the page, mailing state and response record together.

WHERE TO GOA test piece; Hot leads; Integrations if connected

Before you start

Use a clearly identified test property and let your administrator know. Do not mark real mail as mailed for a test.

Follow these steps

  1. Open the test PDF and scan its QR code with a phone. Verify the correct company and property page opens.

  2. Check whether the test piece is before handoff, in the quiet period or marked mailed. A scan inside the quiet period should not count.

  3. For an agreed post-mailing test, have the administrator mark only the test run mailed, then make one normal phone scan.

  4. Refresh Hot leads and open the matching property. Check its new response details.

  5. If testing an appointment, submit your own test contact details and verify the request appears. If a CRM is enabled, check its delivery history and corresponding CRM record too.

What you should see

The correct page opens and the expected response is either recorded or intentionally suppressed for that state.

If something looks wrong

  • No lead after an eligible scan? Record the time, property, QR URL and mailing state; avoid repeated scans that can trigger filtering.
  • An email arrived but the lead seems absent? Confirm the company, user permissions and recent activity window.

Before and after handoff
For print-run pieces, the QR quiet period begins when the package is first downloaded or sent to the printer. Creating a batch alone does not start it.

Printer checks stay quiet
During that period, the quote page can open, but the scan does not become a counted response, scan email or CRM delivery. A deliberate appointment request is separate.

When tracking resumes
Tracking resumes on Mark as mailed if earlier, at the end of the recorded drop date, or after four days from handoff when no drop date is set.

Follow up real responses
Open Hot leads for recent responses and appointment requests. Read the request details before calling. A scan alone does not tell you who scanned or supply their phone number.
