Find the properties that responded and decide the next follow-up.
Before you start
Use your own company account. Reps may see a narrower list than managers.
Follow these steps
Open Hot leads. The screen lists recent responses from the last 30 days, newest first.
Read the response type: scanned, asked through the website widget, or requested an appointment.
Use the phone or email provided on a lead card when available. Open the card to see the full house record.
Read appointment timing, product interest and homeowner notes before replying.
Record your follow-up and actual outcome in the property workflow so later reporting reflects what happened.
You respond using the correct property and the information the person actually supplied.
If something looks wrong
- A scan has no contact chips? Scanning a QR code does not itself supply a name, phone or email.
- A count changed unexpectedly? Check the time window and whether scans were filtered before assuming leads were deleted.

Before and after handoff
For print-run pieces, the QR quiet period begins when the package is first downloaded or sent to the printer. Creating a batch alone does not start it.
Printer checks stay quiet
During that period, the quote page can open, but the scan does not become a counted response, scan email or CRM delivery. A deliberate appointment request is separate.
When tracking resumes
Tracking resumes on Mark as mailed if earlier, at the end of the recorded drop date, or after four days from handoff when no drop date is set.
Follow up real responses
Open Hot leads for recent responses and appointment requests. Read the request details before calling. A scan alone does not tell you who scanned or supply their phone number.
