The one idea: credits

Credits are $1.00 each, sold in hundreds, and they are the only money inside the app. Two things spend them:

Until a piece goes to the printer it costs nothing. Change your mind about a house? Tick don't mail this one on its pin and it never charges.

Who prints your mail

Every rep's houses go to one of two printers. Yours is set in Company settings → Mail setup: one default for the company, changeable per rep, and changeable per house from Review orders.

QwikQuote prints it (the standard setup)

Your pieces are printed, stuffed and posted by us, and they go out automatically with the weekly batch. You do not press anything to make mail happen. There is no send button for this mail on purpose: pin your houses, review them, and batch day does the rest. Watch them under Mailed.

We print it ourselves

Your pieces wait under Queue & Batches → Print it yourself: pick the days and houses, press Build the print file, and you get one combined PDF in stuffing order plus the address list. Print, stuff, post, then press Printed and posted so every house flips to Mailed. These pieces cost only the pin credit. Your paper, your toner, your stamps: we never charge mail on them.

What happens on batch day, by itself

1. All week, your pinned houses collect in the queue. Review them under Review orders whenever you like: change who prints, pull a house with "don't mail this one", fix a name. Nothing has charged for mail yet.
2. On batch day, the pieces render and ship. As each piece goes to the printer it takes its credits from your wallet. This is the only moment mail is ever charged.
3. If the wallet runs short, auto-reload steps in. With Buy more automatically on, the app buys exactly what the run still needs plus the stack you configured, in one charge, one receipt. With it off, the pieces still mail and the uncovered ones are billed in dollars on your weekly statement instead. Either way your mail never gets stuck half-sent.
4. You read the results, not the machinery. Mailed shows every piece out the door. Credits shows every charge, line by line, each one naming its house.

Five habits that keep your bill boring

1. Keep auto-reload on.Set the stack to roughly a week of your volume. It only buys when a run needs it, and it is capped per day.
2. Pull houses before batch day, not after."Don't mail this one" is free right up until the piece prints.
3. Know your printer setting.QwikQuote prints = automatic batch, no button. Print it yourself = your button, your stamps, pin credit only.
4. Give your first bank payment time.A first bank payment takes three to five business days to clear. The credits show up immediately and everything else works, but printed mail paid with them rides the batch after the money lands. A card clears instantly.
5. Read the Credits screen once a week.Balance, every purchase (including credits we have given you free), every charge with its house, and your auto-reload settings, all on one screen.

When something looks wrong

My balance dropped and I do not know why

Credits → Recent activity. Every line names its house and what it was for. Pins charge at the pin; mail charges at the printer; nothing else spends.

A house says MAILED that should not have

Tell us. Charges can be refunded to your wallet, and a piece that never physically went can be put back in the queue on our side.

I bought credits but a charge from before still shows in dollars

It settles itself: the moment credits land, they pay off any mail that shipped while the wallet was empty, oldest first. You will see "caught up" lines in Recent activity.

I want this week's mail out sooner than batch day

Call us. Pushing QwikQuote-printed mail early is done on our side, on purpose, so nothing ships against an empty wallet by accident.
